Why isn't my workflow updating my segment?

Last updated: October 9, 2026

If a segment that a workflow should fill stays empty, changes size unexpectedly or holds the wrong accounts, check the causes below. Most issues come from timing, setup or two workflows updating the same segment.

Last executed shows a dash

The workflow has not run yet. Workflows run on a schedule, not straight after you create them. Check again after the next scheduled run. If the dash stays for more than a day, contact your Solutions Engineer.

The workflow ran but the segment is empty

  • No account matches yet. Check the source: does the intent report have accounts above your threshold, does the campaign have engagement in the time frame, does the HubSpot list or Salesforce report contain accounts?

  • Two sources are combined. An account must meet both conditions. If no account meets one of them, nothing is added. Try each condition in its own workflow to see which one returns no accounts.

  • Salesforce report accounts have no domain. N.Rich matches accounts by website domain. Accounts without an identifiable domain are not imported. See How does N.Rich match Salesforce accounts by domain?

The segment size keeps changing or accounts disappear

Two or more workflows probably update the same segment. A Sync workflow makes the segment match its own source, so it removes accounts another workflow added, and the other workflow adds them back. Use one Sync workflow per segment. If you need several sources in one audience, give each workflow its own segment and add all the segments to your campaign.

An account I removed came back

Workflows check the conditions again on every run. If an account still matches, the workflow adds it back. To keep it out, change it at the source (for example remove it from the HubSpot list) or adjust the workflow conditions.

A data source has a lock icon

The source is not set up yet:

  • Intent: create an intent report.

  • CRM: connect HubSpot or Salesforce.

  • Website: install the N.Rich tag.

  • Advertisement: run a campaign.

  • ICP and Predictive intent: contact your Solutions Engineer to enable them.

My Salesforce report doesn't appear in the workflow

  • The report must be a Tabular Accounts report with the Account ID column. List views are not supported.

  • The report name must start with "N.Rich".

  • The report folder must be shared with the Salesforce user that connected N.Rich, with Viewer access or higher.

  • A newly shared report can take up to 12 hours to appear.

See How to sync a Salesforce report to a segment.

My HubSpot list workflow stopped updating

Lists with more than 50,000 accounts are skipped, and you can't save a workflow with a list that size. Reduce the list below 50,000 accounts, or split it into several smaller lists and sync each one to its own segment. Then add all the segments to your campaign.
