HubSpot Activity Ingestion for the GTM Leader Dashboard

This article explains how sales activity gets from HubSpot into the GTM Leader Dashboard - sync timing, account matching, activity classification, and what counts as a touch. How we import HubSpot activity

  • We pull HubSpot Call, Email, Meeting, and Communication records once daily. (Communication is the object type LinkedIn messages, LinkedIn InMails, SMS, and WhatsApp activity come through as.)

  • Each pull covers a rolling 7-day window, based on the activity's HubSpot timestamp - new activity typically shows up within a day.

  • HubSpot Notes and Tasks are not pulled into this pipeline.

Company resolution

  • An activity is imported only if it resolves to a HubSpot Company that's already mapped to an account in N.Rich.

  • Activity associated only with a Contact, with no Company resolved, is not imported.

  • Where owner-based filtering is configured for an account, activity from owners outside that configuration is also skipped - the same mechanism used on the Salesforce side.

Activity classification

Each object type is classified using its own HubSpot fields:

  • Call - direction comes from the call's direction field.

  • Email - direction comes from the email's direction field.

  • Meeting - meetings are always stored as inbound in the source data (see "What counts as a sales touch" below for why this doesn't exclude them).

  • Communication - classified into LinkedIn message, LinkedIn InMail, SMS, or WhatsApp based on the channel type. For LinkedIn specifically, whether it's a Message or an InMail (and its direction) is determined by scanning the message body for the standard Sales Navigator header text (for example, "Message sent from Sales Navigator"). If the channel is LinkedIn but no matching header is found, the activity is left unclassified rather than counted as a Message or InMail.

This is the same underlying pipeline that feeds ABM Progression Analytics' Opportunity Analysis, but the GTM Leader Dashboard surfaces the full channel set - Call, Email, Meeting, LinkedIn message, LinkedIn InMail, SMS, WhatsApp - rather than the narrower four-item list referenced for Opportunity Analysis.

Date attribution

Each activity is attributed to its HubSpot timestamp field. Unlike Salesforce (which falls back from ActivityDate to CreatedDate when ActivityDate is empty), there is no fallback field on the HubSpot side.

What counts as a "sales touch"

  • Only outbound activity counts as a touch - with one exception: meetings always count, regardless of direction.

  • Unclassified activity - including LinkedIn activity that couldn't be matched to a Message or InMail - is not counted as a touch.

  • This rule is applied after ingestion and is identical for HubSpot and Salesforce.

Because of these rules, the GTM Leader Dashboard will typically show fewer touches than a raw HubSpot engagement export for the same rep and period - inbound activity, unclassified activity, and activity on unmapped Contacts or Companies are excluded by design.
